Printing and mailing services:
Fast, economical newsletter printing and mailing

"How can I economically get my newsletter to my readers quickly?"

That was the question The Business Word, a newsletter publisher, asked as it planned its newsletter printing and mailing service for publishers and trade associations. The answer is simple: Use a printer that is organized to print a lot of short-run newsletters quickly and economically. With no rush charges.

In addition to high-quality printing and mailing services, we offer:

  • Economical two-color printing for your newsletters and promotions.
  • Two-day turnarounds without rush charges. We get most short-run letters out in one or two days.
  • Printing, binding and mailing under one roof, which improves quality, customer service and turnaround times.
  • 7:30 a.m. to 8 p.m. printing, which will allow us to print up to 5,000 24-page booklets the same day your camera-ready and fully proofed art arrives and mail the next day. In most cases, 4- to 24-page letters received by 12 p.m. Mountain Time will be printed and mailed in 24 to 36 hours.
  • Alternative delivery and regional Postal entry for especially time-sensitive publications.
  • Overnight shipment of office copies to your editors.
  • Faxed order confirmations, reports on the receipt of art and the completion of mailings and alerts if we have unexpected delays.
  • Voice mail for messaging at your convenience.
  • Modern air suction-fed 16-pocket collator allows binding a wide variety of wraps, promotions, reply cards to your booklets. It also makes six- and 10-page letters economical.
  • 1st, Periodicals and Standard mailing experience and capabilities.
  • Modem for copy downloading the minute you're ready to go to press. We can take copy from your modem, CompuServe, AmericaOnline or the Internet.
  • Modern order entry and job tracking software that will allow us to report on the status of any job in the shop.
  • Space to store preprints, inserts, envelopes, etc.
  • Access to our staff of professional proof readers, publication designers and desktop publishers and our editorial and publishing consulting services.
  • Direct mail design and copy writing services.
  • Fulfillment and customer service services for publishers who want to outsource those important responsibilities.

Newsletter printer and mailers:
What to look for in a printer

Look for a printer who specializes in helping newsletter publishers expand their businesses.

Equally important, make sure your account representative and project coordinator are publishing experts.

What you want is a printer who will help you:

  • Design a letter that can be printed and mailed quickly and economically.
  • Select paper and inks that will make your letter appealing and at the same time affordable.
  • Streamline your production process so that you can get your letter and promotions in the mail quickly. Time is money.

Use a printer whose people know they are in the publishing business, where time-sensitive news must go out fast.

Ask printers whether they can turn your letter around in one or two days.

Can the printer handle your desktop publishing?

Can the printer download your copy via America Online, CompuServe or the Internet?

If you are a small or startup publisher, you might look for a printer who can help you prepare direct mail materials, plan forced free trials and handle your customer service and fulfillment operations.

Give printers samples and exact specifications so all printers are given a chance to bid on the "same job."

Talk to as many printers as you can and see how much they can help you learn about printing, mailing and the publishing business.

Here are some tips on cutting printing and mailing costs:

  • Use normal inks that dry rapidly, not metallics that take more time and effort to use and dry relatively slowly.
  • Use spot color instead of tight registrations, which take more time and cost more. Subscribers buy newsletters for your information, not your graphics.
  • Use lower-priced paper, like Lynx Opaque.
  • Avoid six- and ten-page letters, which take more time to print and collate.
  • If you mail in envelopes, use 50 pound paper, and use 60 pound stock for self-mailer booklets.
  • For business-to-business subscriber-supported newsletters, use two colors on the cover and back page only. Consumer and client newsletters should use two colors on every page.
  • Save on mailing time and postage costs. Self-mail any letter that is 12 pages or more, and use periodicals postage rates on letters with more than 500 subscribers. Print these letters as stapled booklets.
  • Deliver your copy and labels to your printer and mailer on deadline.
  • Give your printer clear, written instructions that will help minimize costly errors.
  • Assign one person to coordinate your printing and track all of your projects. Make sure your printer does the same.
